HVAC Answering Service That Never Misses a Call

Updated

An HVAC answering service answers the calls your techs cannot take. Prisma Voices does it with an AI receptionist: it picks up 24/7 on your existing number, books service calls into your calendar, and follows up by callback, SMS, email, and WhatsApp where approved. Setup takes about five minutes. Plans start at $30 per month plus $0.50 per answered minute.

What does an HVAC answering service do?

Heating and cooling emergencies do not wait for office hours. When the heat is out in January or the AC dies in July, the homeowner wants an answer on the first call. An answering service makes sure they get one from you. Prisma Voices answers on your existing number, tells callers what you would tell them, books the job, and logs the call in your dashboard.

The agent works from your own services, prices, and coverage area, so callers hear your answers and not a generic script. See how it works.

How does it handle a no-heat emergency vs a maintenance booking?

Emergency: the caller has no heat and it is below freezing. The agent takes their name, address, and symptoms, marks the message as an emergency, and emails it to you straight away. It can also book the first open slot in your calendar and send a confirmation. If the caller asks for a person and you have set a transfer number, it connects them to that number.

Routine: a homeowner wants a tune-up or a quote for a new unit. The agent answers their questions, books the appointment into your calendar, and sends a confirmation. If they do not book on the call, it can follow up by callback, SMS, or email, or on WhatsApp where approved.

Seasonal rush: Prisma Voices takes more than one call at a time, 2 at once on Starter and 5 on Growth, with more on Enterprise. In a heat wave that means fewer callers land in voicemail while one call is already in progress.

What happens on every call?

Calls are answered 24/7 with your company-name greeting. The agent answers questions from your knowledge base, which is included on every plan. It qualifies the job by location, system, symptom, and timing, books the appointment into your Google Calendar, and sends a confirmation. After the call it can follow up by callback, SMS, or email, or on WhatsApp where approved, and the call is logged in your dashboard with its recording and transcript.

What does an HVAC answering service cost?

Prisma Voices has three self-serve plans. Pay as you go is $30 per month plus $0.50 per answered minute. Starter is $99 per month with 250 minutes included, then $0.40 per minute. Growth is $249 per month with 700 minutes included, then $0.35 per minute. Enterprise is custom. Every plan includes the knowledge base and done-for-you setup. The free trial runs 4 days with 100 minutes and needs no credit card. See pricing.

Human answering services price by the minute or by the call. From their own pricing pages, checked on 9 October 2026: Ruby starts at $250 per month for 50 minutes, Abby Connect at $165 per month for 50 minutes, PATLive at $49 per month plus $2.99 per minute on pay as you go, and Smith.ai at $300 per month for 30 calls.

Per-minute pricing matters most in season, when your phone rings the most. At about 200 minutes a month, Ruby's plan is $720 and PATLive's is $349. Prisma Voices Starter is $99 and includes 250 minutes. The answering service cost guide has the full price table.

How fast can an HVAC company go live?

Setup takes about five minutes on your side. You keep your number and forward it, connect your calendar, and tell us your services and booking rules. Setup is done for you on every plan. It fits one-truck operations and multi-branch companies alike. Prisma Voices serves small, medium, and large businesses.

Prisma Voices also works for plumbers and electricians.

185 Maple Drive. It's a central air unit, about 8 years old.

I have a technician available at 4:00 PM today. I've booked that and will send you an SMS with details and arrival window.

Common questions from hvac companies

Does it work with my existing business number?
Yes. You keep your number and forward it to Prisma Voices. There is no number change and no new hardware.
Can it dispatch emergencies to my on-call tech?
It does not page a tech for you. It marks the message as an emergency and emails you the caller's name, number, and problem straight away. If the caller asks for a person and you have set a transfer number, it connects them to that number, which can be your on-call tech's phone.
Can it book maintenance appointments?
Yes. It books into your connected Google Calendar and sends confirmations and follow-ups.
What does an HVAC answering service cost?
With Prisma Voices, Pay as you go is $30 per month plus $0.50 per answered minute. Starter is $99 per month with 250 minutes included, then $0.40 per minute. Growth is $249 per month with 700 minutes included, then $0.35 per minute. The free trial runs 4 days with 100 minutes and needs no credit card.
We are a larger company with several locations. Does it fit?
Yes. Prisma Voices serves small, medium, and large businesses. Growth takes 5 calls at once, and Enterprise plans are custom.
What hours does it cover?
It answers 24/7, every day, including holidays.
Can an AI receptionist actually handle real HVAC emergency calls?
Yes. Write what counts as an emergency for you into the agent's instructions, for example no heat below 50°F, no AC above 90°F, a gas smell, or water leaking from the indoor unit, along with your safety questions (for example, is the gas shut off?). On an emergency call the AI collects the address and contact details, asks your questions, and emails you a message marked as an emergency straight away. It can also book the next open slot. For non-emergencies, it books a regular service appointment.
Will the AI know my service area and pricing?
Yes, once you add them. Put your service area and standard rates (diagnostic fee, hourly rate, common repair price ranges) in your knowledge base or price list. The AI quotes from what you added and is instructed never to invent a price. If a caller asks about a price you have not added, it offers to schedule a technician for an exact quote rather than guessing.
How does it handle peak season volume?
Prisma Voices answers more than one call at a time: 2 at once on Starter, 5 on Growth, and more on Enterprise. During a heat wave or winter cold snap it answers 24/7 and handles those calls in parallel. A single dispatcher can only take one call at a time.
What happens for after-hours and weekend emergency calls?
The same agent answers 24/7. After hours it finds out what the caller needs and books a slot for routine issues. For an emergency it emails you a message marked as an emergency with the customer's name, number, and issue summary, so there is no voicemail to listen through.
What if a caller refuses to talk to an AI?
If you set a transfer number, anyone who asks for a person is connected to it, whether that is your office line, a manager's cell, or an answering service. If no number is set, or nobody picks up, the AI takes a message and emails it to you.
Will customers be able to tell they are talking to an AI?
We recommend disclosing that callers are speaking with an AI assistant in your greeting (it is good practice and required in some states). You control the wording of the greeting.
